Privacy Policy

What we collect, why we collect it, who can see it, and the choices you have. We keep it plain and short.

1. Who we are and what this covers

Workframe (workframe.studio) is a platform where creative professionals show their work, run their business and find jobs, and where hirers find and hire them. This policy explains what personal information we collect, why we collect it, who can see it, and what choices you have.

It applies to workframe.studio and the Workframe app. By using Workframe you agree to this policy. If you don't agree with it, please don't use the service.

2. Information we collect

We collect the information you give us and the information created when you use Workframe:

  • Account details: your name, email address and password, and whether you joined as a freelancer, studio, agency or hirer. Your password is handled by our sign-in provider and is stored securely; we never see it.
  • Profile: your username, roles, bio, about text, profile photo, cover image, website and social links, contact email and, on Pro, your WhatsApp and phone numbers.
  • Your work: projects (title, client name, year, category, tags, overview, images and video links) and, on Pro, services with prices.
  • Business and productivity tools (Pro): invoices and contracts, including your clients' names and emails, line items and amounts, your payment details (bank or mobile money), your TPIN, and the name and time of a contract signature; questionnaires you send to clients and the answers they submit; plus your tasks, time entries, notes and calendar events.
  • Jobs: jobs that hirers post, and the applications creatives send (message, proposed price and a link to their profile).
  • Activity: project views, likes, follows, comments, notifications and messages.
  • Technical information: your IP address, browser and device details, and error reports, which our hosting and service providers record in ordinary server logs.

3. How we use your information

  • To run Workframe: create and secure your account, host your profile and projects, and power the directory, the job board and the business and productivity tools.
  • To let hirers and creatives find and contact each other.
  • To send you messages about the service, such as email confirmation, security notices and changes to our policies.
  • To keep Workframe safe, prevent abuse and fraud, and enforce our Terms of Service.
  • To fix problems and improve the product.
  • To meet our legal obligations.

We do not sell your personal information, and we do not show advertising.

4. What is public and who can see what

  • Public: your profile, your projects and their images and videos, your services, and any job you post while it is open. Anyone can see these, including people who aren't signed in and search engines.
  • Private to you: your invoices, contracts, questionnaires and their answers, tasks, time entries, notes and calendar. Only you can see them.
  • Shared by link: an invoice, contract or questionnaire you send to a client through a link can be opened by anyone who has that link. Treat these links like a private document. If a client signs a contract or answers a questionnaire, we record what they submitted and when.
  • Job applications: when you apply for a job, the hirer who posted it can see your application, your name, your profile and portfolio, and the contact email on your profile.
  • Contact details: if you add a contact email (or, on Pro, a WhatsApp or phone number) to your profile, visitors to your profile can see and use it.

5. Who we share it with

We share information only with the providers that help us run Workframe, and where the law requires it:

  • Our database, sign-in and file storage provider (Supabase, through Lovable Cloud), which stores your data and your uploaded images.
  • Our hosting provider (Vercel), which serves the website.
  • Google Fonts, which supplies our typeface. When a page loads, Google receives your IP address and browser details.
  • YouTube and Vimeo, when you or a creative embeds a video. Their players load from their servers and may set their own cookies when you play a video.
  • Courts, regulators or the police, if we are legally required to, or if it is needed to protect people's safety or our rights.
  • A successor, if Workframe is ever sold or merged, and only on terms that protect your information as this policy does.

We ask our providers to protect your information and to use it only to provide their service to us.

6. Cookies and local storage

We use your browser's storage to keep you signed in and to remember a few small preferences. We don't use advertising or cross-site tracking cookies. The details are in our Cookie Policy.

7. How long we keep it

We keep your information for as long as your account is active. You can edit or delete your projects, services, invoices, contracts, questionnaires, tasks, notes and jobs whenever you like.

If you delete your account we delete your profile and content, normally within 30 days. Copies in our backups can take longer to be overwritten. We may keep some information for longer where the law requires it, or where we need it to settle a dispute or prevent abuse.

8. How we protect it

Workframe is served over an encrypted connection (HTTPS), and access rules in our database make sure people can only read and change what they are allowed to, so your private business and productivity data is visible only to you. We limit who at Workframe can access data.

No system is completely secure. Please choose a strong password, don't share it, and tell us straight away if you think your account has been misused.

9. Your rights and choices

You can ask us to give you a copy of your personal information, correct it, delete it, limit or object to how we use it, or move it to another service. You can also withdraw consent where we rely on it.

You can edit most of your information yourself under Edit profile. For anything else, or to delete your account, write to hello@workframe.art. We will reply within 30 days.

You also have the right to complain to the data protection authority in Zambia if you believe we have handled your information unlawfully.

10. Children

Workframe is for people aged 18 and over. We don't knowingly collect information from anyone younger. If you think a child has given us their information, tell us and we will delete it.

11. Where your information is processed

Our service providers may process and store information in countries outside Zambia. Where they do, we rely on them to protect it to a standard consistent with this policy and with applicable data protection law, including Zambia's Data Protection Act, 2021.

12. Changes to this policy

We may update this policy from time to time. We will change the date at the top and, if the changes are important, tell you by email or in the app before they take effect.
